A phone menu for a plumbing business

Callers report leaks, request a quote, or ask when a booked visit will happen. A menu can separate new work from existing appointments, while a true emergency path depends on who is on call.

Who is calling, and what do they need?

Callers report leaks, request a quote, or ask when a booked visit will happen. A menu can separate new work from existing appointments, while a true emergency path depends on who is on call.

Keep the top-level menu in the caller’s language. In Auto Attendant each option does one thing: it rings up to three phones one after another (each for 10 to 60 seconds, never together), takes a voicemail, or plays a message and hangs up. Point each option at the person, or the shared phone, that actually handles this call, and add a backup only where a missed call costs you.

How plumbing business calls actually go

Plumbing emergencies are time-sensitive in a way that compounds: a burst pipe causes more damage every minute, and the customer’s first instinct is to call whoever answers. That favours a very short top-level menu with a clearly worded urgent option, and a voicemail that asks the right two questions so dispatch can rank the callback.

The rest of the traffic is ordinary: quotes for fixture replacement, water heater swaps, and scheduled-visit questions. Keep those on separate keys so they do not compete with the leak line. A good rule is that urgent work earns one key and one named person, and everything else shares a plain office route.

Caller’s choiceRole to ringWhat it doesWhy this route
1. Leak or urgent repair on-call plumber, then owner Rings up to 3 phones in turn, then voicemail Ring the on-call plumber for about 20 seconds, then the owner, during your set hours; a missed call goes to voicemail.
2. Quote or new job estimator Rings one phone One estimator captures new enquiries, and the voicemail catches the rest.
3. Existing job or appointment office coordinator Rings one phone A single route is easier for customers already expecting a visit.

Shaded text is a fill-in field: replace it with your own.

This example uses 3 menu options. Auto Attendant allows up to seven; add an option only when it sends a distinct kind of caller to a meaningfully different destination. A call that rings every phone you listed without an answer goes to voicemail. The menu can be in English, French or Spanish, and a line can also skip the menu and go straight to one action.

Greeting script

Business name. For a leak or urgent repair, press 1. For a quote or new job, press 2. For an existing job or appointment, press 3.

26 words, about 10 seconds spoken at 150 words per minute. The estimate is calculated from the script above; allow extra time for pauses and clear delivery.

Read each reason before its key, as in “For a new enquiry, press 1”. Replace the shaded fields and any role or service wording before you type the greeting into the menu; a text-to-speech voice reads it to callers.

A worked example

Illustration: a three-van plumbing company offers 1 for a leak or urgent repair, 2 for quotes, 3 for existing jobs. Option 1 rings the on-call plumber’s mobile for 20 seconds and then the owner’s during the hours the company covers; if neither answers, the call goes to voicemail. The voicemail asks callers to say “whether water is still running and if they can reach the main shut-off”, which tells dispatch if the situation is stable.

The common error is promising 24-hour service in the greeting while the on-call plumber changes weekly and nobody updates option 1. The greeting can be accurate only if the rota is: assign one person to own the rota, and one to test option 1 each Friday.

After hours, weekends, and holidays

Outside your set hours callers hear the closed message and can leave a voicemail; calls are not forwarded after hours. If a plumber covers evenings, extend the hours on those days so the urgent option keeps ringing the duty phone. Otherwise say when the office reopens.

Name the coverage window and check that the urgent option rings the person actually on duty. Holidays are closed all day, so the holiday message should say when the office reopens.

Outside the hours you set, Auto Attendant plays your closed message and then takes a voicemail or ends the call; it does not forward calls after hours, and holidays are closed all day. Where the advice above mentions an on-call route, either keep that person’s option within your set hours or give the arrangement in the closed message.

Check the greeting after every schedule change. A voicemail arrives by email with the recording attached and a transcript when one is produced, but it does not make the call live or guarantee a response time.

Rules and standards worth knowing

Plumbers who open walls or dig trenches meet occupational hazards covered by OSHA, including trenching and excavation 1. For a phone menu the relevant point is operational: an on-call technician driving to a job at night should not be taking detailed calls, so the first action of the voicemail path should be a text-or-callback by dispatch, not a technician juggling a phone.

In older housing, repair work that disturbs lead-based paint is regulated by EPA’s Renovation, Repair and Painting program 2, and mould found behind a leak is a topic where EPA’s guidance is the usual reference 3. Neither is something a menu resolves, but customers do ask about both, and an informed answer from the office builds trust.

On-call pay rules turn on how restricted the employee is 4. Settle the arrangement and the call-out pay before the rota goes live.

This is general information, not legal advice. Rules differ by state and change; confirm anything that affects your business with the source or an adviser.

Common menu mistakes

  • Leaving an old technician on the emergency route after a rota change.
  • Treating every drip as an emergency in the greeting.
  • Sending new quote enquiries through the urgent route.

Keep the greeting short, use the same names callers see elsewhere, and make sure every route has a sensible end when nobody picks up.

Check the menu before you publish it

  • Name one person who owns the on-call rota.
  • Test option 1 every Friday afternoon, including the voicemail path.
  • Ask for address and whether water is still running in the voicemail prompt.
  • Decide in advance what you will say to callers who ask about mould or old paint.
  • Decide who checks the voicemail inbox if the on-call mobile is off.
