First, put a number on it
Whether missed calls are a problem worth spending on depends on how many you miss, how many of those were new business, and what a job is worth to you after costs. Guessing tends to go wrong in both directions.
The missed call cost calculator uses margin rather than revenue, a two-week audit of your own calls, and a break-even test for each possible remedy, so you can see whether a fix pays for itself before you buy it.
Make the valuable calls reach a person
Often the simplest fix is routing: ring the people who can take a new enquiry at the same time, so whoever is free picks up, and give the caller a short menu so the right person gets the call first time. Designing a phone menu people do not hate covers how. If calls are being missed because too many arrive at once, how many phone lines you need helps size that.
Cover evenings and weekends deliberately
For a business whose late calls are emergencies, the after-hours greeting should offer a way through to whoever is on call, and the rota behind it has to be fair and survivable. After-hours on-call plan for small trade teams covers the urgency rules, escalation path, handoff checklist and pay considerations, with a four-week template.
For a business whose late calls can wait, say so plainly, give the opening time, and take a voicemail.
Think twice before automatic text-back
Sending an automatic text to everyone whose call you missed sounds like a free win. It is business messaging, though, with consent, opt-out and US carrier registration obligations, and it fails in ways that are easy to miss.
Missed call text back for small business sets out the risks, a test checklist, current pricing and the call-routing alternatives that avoid the problem altogether.
Make sure your call-backs get answered
A call-back only works if the customer picks up. If calls from a business number are arriving labelled Spam Likely, many will not. Why your business number shows as Spam Likely explains the systems behind the label, and why is my business number showing up as spam? lists the carrier correction routes and the evidence to collect.
When to pay somebody else to answer
If the calls you miss need a conversation rather than a route to the right person, taking a message, booking a job, answering questions, then an answering service or an AI receptionist is a different product that does something we do not. AI receptionist vs answering service vs auto attendant compares all three with a 20-call pilot to run before you commit, and auto attendant vs answering service gives the short version.
