A phone menu for a photography or events studio

Prospective clients ask about a date and package, booked clients discuss an upcoming event, and collaborators may need a production contact. A simple menu can keep new enquiries separate from event-day coordination.

Who is calling, and what do they need?

Prospective clients ask about a date and package, booked clients discuss an upcoming event, and collaborators may need a production contact. A simple menu can keep new enquiries separate from event-day coordination.

Keep the top-level menu in the caller’s language. In Auto Attendant each option does one thing: it rings up to three phones one after another (each for 10 to 60 seconds, never together), takes a voicemail, or plays a message and hangs up. Point each option at the person, or the shared phone, that actually handles this call, and add a backup only where a missed call costs you.

How photography or events studio calls actually go

Photographers and event studios take enquiries in bursts: after a wedding fair, after a feature, or around the season when families book portraits. The caller is usually comparing providers and wants a quick, warm response and a date. If the phone rings during a shoot, it is not answered, and a voicemail with a transcript is the only thing that keeps the enquiry alive.

A menu with two or three options is plenty: new enquiry, existing booking, and photo delivery or print questions. The existing-booking route matters in season, when couples and parents call to confirm times and locations just before the day.

Caller’s choiceRole to ringWhat it doesWhy this route
1. Availability and new project booking coordinator Rings one phone One coordinator captures the date and arranges a consultation.
2. Already booked event client coordinator Rings one phone A named coordinator has the schedule and client context.
3. Event-day production contact event lead, then second producer Rings up to 3 phones in turn, then voicemail Ring the event lead during the event window, then a second producer, and edit the menu again when it ends.

This example uses 3 menu options. Auto Attendant allows up to seven; add an option only when it sends a distinct kind of caller to a meaningfully different destination. A call that rings every phone you listed without an answer goes to voicemail. The menu can be in English, French or Spanish, and a line can also skip the menu and go straight to one action.

Greeting script

Business name. For availability or a new project, press 1. If your event is already booked, press 2. For an event-day production contact, press 3.

25 words, about 10 seconds spoken at 150 words per minute. The estimate is calculated from the script above; allow extra time for pauses and clear delivery.

Read each reason before its key, as in “For a new enquiry, press 1”. Replace the shaded fields and any role or service wording before you type the greeting into the menu; a text-to-speech voice reads it to callers.

A worked example

Illustration: a two-photographer studio offers 1 for a new booking enquiry, 2 for an existing booking, 3 for delivery and prints. Option 1 rings the studio manager. The voicemail asks for the date and location of the event, the type of event and the best time for a callback. A reply goes out from the studio’s own mobile the same evening.

The common failure is a seasonal greeting that is not updated. Telling callers in November that bookings “open in spring” when the calendar is already full wastes the best prospects’ time.

After hours, weekends, and holidays

Outside staffed hours, state when enquiries will be reviewed. Keep the event-day option active only for the dates and times when the assigned lead is carrying the phone.

Events may happen on weekends while the office is closed. Set a dated event route when needed and remove or change it when coverage ends.

Outside the hours you set, Auto Attendant plays your closed message and then takes a voicemail or ends the call; it does not forward calls after hours, and holidays are closed all day. Where the advice above mentions an on-call route, either keep that person’s option within your set hours or give the arrangement in the closed message.

Check the greeting after every schedule change. A voicemail arrives by email with the recording attached and a transcript when one is produced, but it does not make the call live or guarantee a response time.

Rules and standards worth knowing

Studios open to clients are places of public accommodation, and the ADA’s requirements for businesses open to the public apply 1. Provide a non-voice route, such as a published email address, for customers who cannot use the phone menu 2.

Photographers need to plan for disruption; Ready.gov’s business continuity guidance covers how to keep operating when equipment, venues or communications fail 3. A phone number that continues to answer when a laptop is lost or a car is stolen is part of that.

Licensing and registration for small studios depend on state and local rules, and the SBA’s licensing guide lists where to start 4.

This is general information, not legal advice. Rules differ by state and change; confirm anything that affects your business with the source or an adviser.

Common menu mistakes

  • Leaving an event-day contact active after the event.
  • Sending new enquiries to a photographer who is working a shoot.
  • Using one route for date availability and time-sensitive event coordination.

Keep the greeting short, use the same names callers see elsewhere, and make sure every route has a sensible end when nobody picks up.

Check the menu before you publish it

  • Ask for event date, location and type in the enquiry voicemail.
  • Set a rule for how fast enquiries get a reply during the season.
  • Update the seasonal greeting whenever the calendar fills.
  • Give existing couples and clients their own key.
  • Publish an email or form as a non-voice alternative.
