When this flow fits

When weekend availability differs from weekday evenings and the weekend caller needs a distinct expectation.

Keep each route tied to a caller need. With Auto Attendant each option does one thing: it rings up to three phones one after another (never together), takes a voicemail, or plays a message and hangs up; a line can also skip the menu entirely. A forwarded call shows your business number as caller ID, and the team returns calls from its own mobiles.

With Auto Attendant. With Auto Attendant, set business hours for each day. Outside them, including any day with no hours, callers hear the closed message and can leave a voicemail. The closed message serves every closed period, so word it to fit weekday evenings as well, or name the weekend and change it back on Monday.

Why this flow is built this way

A weekend message differs from a weeknight one because the wait is longer and the caller knows it. The honest answer to “when will someone call me back?” is often Monday morning, and saying so with a clock time sets expectations more safely than leaving the caller to guess. If weekend coverage is partial, such as Saturday morning only, name the exact window.

Weekend callers are disproportionately people with something that has gone wrong at home or something they have time to arrange. Letting them leave a complete message, name, number and what they need, means the Monday team can open the inbox and work through it in order.

Flow and keypresses

The diagram shows what the caller hears and where each choice leads. The count is the number of keypad selections from the first menu to that destination; a submenu adds another press.

Original script wording

Replace the shaded fields with details your callers need. Do not read them aloud as written. Word count and duration are calculated from each script; spoken time is estimated at 150 words per minute, so pauses and keypad instructions may make the spoken greeting longer. Auto Attendant reads your wording in a text-to-speech voice; you type the words rather than recording them.

Closed weekends · 38 words · about 16 sec at 150 words per minute

Thanks for calling Business name. Our office is closed for the weekend and opens again on day at time. Please leave a message with your name and number, and we will get back to you when we reopen.

Shaded text is a fill-in field: replace it with your own.

A worked example

Illustration: a plumbing office is closed on weekends and runs a separate on-call line. Its weekend greeting says the office is closed until Monday at 7:30, offers the urgent route in one sentence, and invites a message for everything else. On Monday the coordinator works through the transcripts, urgent first, in the order received.

A subtler case is the Saturday-hours business. If the office opens 9 to 1 on Saturdays, the Saturday afternoon greeting needs to say it has closed for the weekend, and the Sunday greeting needs to say Monday. Two weekend messages, switched by schedule, beat one message that is wrong half the time.

Timing, options and common mistakes

Use a schedule that covers the full weekend: in Auto Attendant, a day with no business hours plays the closed message all day.

For a business open on Saturdays, replace the closure wording with the actual Saturday hours.

  • A weekend greeting should not imply the same response time as a staffed weekday.
  • Check holiday dates separately if they override the normal weekend schedule.

Say the option before its key, put the most frequent caller need first, and repeat the key choices at the end. A practical starting point is no more than about four top-level options: callers must listen, remember the choices and select one. Use a submenu for a less common branch rather than making every caller hear every detail.

For a full routing walkthrough, see call routing and menu design. An Auto Attendant menu has up to seven options; each rings up to three phones in turn, takes a voicemail or plays a message. The menu can be in English, French or Spanish. Voicemails are emailed in the business’s chosen language with the MP3 attached, followed by a transcript in the language of the message.

Standards and rules behind it

If a weekend phone is staffed by employees, wage-and-hour rules apply to how they are paid. The Department of Labor’s hours-worked regulation says an employee who must stay on the premises or so close that the time cannot be used for personal purposes is working while on call, while one who is merely asked to leave word where they can be reached is not 1. Employers should settle the arrangement before advertising weekend coverage; this is not legal advice.

The SBA’s guidance on hiring and managing employees is a general starting point for small employers working through payroll and labour obligations 2. A weekend greeting should never promise coverage that the roster does not provide; Ready.gov’s business continuity guidance is a reasonable checklist for deciding what coverage the business can sustain 3.

This is general information, not legal advice. Rules differ by state and change; confirm anything that affects your business with the source or an adviser.

Test it before you publish it

  • Confirm the greeting matches the actual weekend hours, including half days.
  • Switch between Saturday and Sunday messages if hours differ.
  • Decide who clears weekend voicemail first on Monday.
  • If an urgent route exists, test it on the first weekend.
  • Avoid promising a Monday call-back time you cannot keep.
