A phone menu for a cleaning service

Prospective customers ask about a service and price, recurring customers change a visit, and property contacts may report an access or quality issue. These calls benefit from separate intake and service routes.

Who is calling, and what do they need?

Prospective customers ask about a service and price, recurring customers change a visit, and property contacts may report an access or quality issue. These calls benefit from separate intake and service routes.

Keep the top-level menu in the caller’s language. In Auto Attendant each option does one thing: it rings up to three phones one after another (each for 10 to 60 seconds, never together), takes a voicemail, or plays a message and hangs up. Point each option at the person, or the shared phone, that actually handles this call, and add a backup only where a missed call costs you.

How cleaning service calls actually go

Cleaning businesses live on recurring bookings and on trust. The calls are a mix of new quote requests, existing clients rescheduling or reporting a problem, and cleaners themselves calling in sick or locked out. Mixing those on one line means a cleaner’s “I can’t get in” call can be buried under a quote request.

A staff route is often the most useful key. Give cleaners their own option that rings the scheduler or owner so same-day problems are resolved quickly, and keep customers’ options for quotes and existing service separate.

Caller’s choiceRole to ringWhat it doesWhy this route
1. New cleaning enquiry sales coordinator Rings one phone One coordinator captures the property type and arranges an estimate.
2. Existing booking or schedule change scheduler Rings one phone The scheduler can handle routine changes directly.
3. Issue with a completed visit service lead Rings one phone A named service contact owns follow-up rather than sending the caller to sales.

Shaded text is a fill-in field: replace it with your own.

This example uses 3 menu options. Auto Attendant allows up to seven; add an option only when it sends a distinct kind of caller to a meaningfully different destination. A call that rings every phone you listed without an answer goes to voicemail. The menu can be in English, French or Spanish, and a line can also skip the menu and go straight to one action.

Greeting script

Business name. For a new cleaning enquiry, press 1. To change an existing booking, press 2. If you need help with a completed visit, press 3.

26 words, about 10 seconds spoken at 150 words per minute. The estimate is calculated from the script above; allow extra time for pauses and clear delivery.

Read each reason before its key, as in “For a new enquiry, press 1”. Replace the shaded fields and any role or service wording before you type the greeting into the menu; a text-to-speech voice reads it to callers.

A worked example

Illustration: a ten-cleaner service offers 1 for a quote, 2 for an existing booking, and 3 for team members. Option 3 rings the scheduler’s mobile. The quote voicemail asks for the property type, number of rooms and a preferred day, so the estimator can reply with a price without a second call.

The recurring error is routing a “I am locked out” call to the sales line. The cleaner waits on a doorstep, the client’s home stays dirty, and a one-minute call becomes a lost customer.

After hours, weekends, and holidays

Give the next office opening and accept a concise voicemail. Calls are not forwarded after hours, so if access issues need attention outside office hours, give clients a separate agreed contact rather than promising it on the menu.

Use a separate message when service schedules change for a holiday. Say when scheduling staff will review messages.

Outside the hours you set, Auto Attendant plays your closed message and then takes a voicemail or ends the call; it does not forward calls after hours, and holidays are closed all day. Where the advice above mentions an on-call route, either keep that person’s option within your set hours or give the arrangement in the closed message.

Check the greeting after every schedule change. A voicemail arrives by email with the recording attached and a transcript when one is produced, but it does not make the call live or guarantee a response time.

Rules and standards worth knowing

Cleaning staff handle chemicals, and OSHA’s Hazard Communication standard requires employers to share information about hazardous chemicals with workers through labels, safety data sheets and training 1. The phone menu’s staff key is a good place for a supervisor to hear about a spill or a reaction quickly.

Hiring and managing cleaners involves payroll, tax and labour obligations that the SBA summarises for small employers 2. Where a business uses contractors rather than employees, classification questions are for an adviser, but they affect who may be asked to answer a phone and when.

After water damage, cleaning companies are often asked about mould. EPA’s guidance is that mould control is moisture control 3; your phone script can say that you will assess the property and refer larger remediation questions to a specialist rather than diagnose by phone.

This is general information, not legal advice. Rules differ by state and change; confirm anything that affects your business with the source or an adviser.

Common menu mistakes

  • Making cleaners answer calls while they are at a customer’s property.
  • Sending complaints to the same queue of people handling new estimates.
  • Asking callers to leave access codes or other sensitive details in voicemail.

Keep the greeting short, use the same names callers see elsewhere, and make sure every route has a sensible end when nobody picks up.

Check the menu before you publish it

  • Add a staff key so cleaners never queue behind a quote request.
  • Prompt quote callers for property type, size and preferred day.
  • Write a one-sentence script for mould and water-damage questions.
  • Check that a spill or injury reaches a supervisor directly.
  • Write the closed-hours message with the next time a person will answer.
